MAINPURPOSE OF JOB:
Provides hands-on support in the day-to-day administration of pre-sales processing in the KSA Business Support Team. Interfaces with all stakeholders to resolve escalated issues. Promotes and enhances exceptional pre-sales administration to the organization and said business’s. Ensure that all quotes and tenders received are completed and answered in a timely manner.
MAIN JOB DUTIES/RESPONSIBILITIES:
-Coordinate all Pre-Sales administration activities for the businessUnit.
-Liaison between the internal departments – BUs, Finance, Credit Collection, EOC, Regulatory, SBU, etc.
-Follow-up on orders processing and ensure that invoices are received and forwarded to the countries.
-Daily update of the forecast and the invoiced orders, back orders, etc.
-Create and arrange Business Purchase Orders.
-Be aware at all times of the YTD sales of the division, forecast of the months/quarters, AOP of the months/quarters/year.
-Know the accurate amount of orders to be invoiced and the value of items on back order
-Assist the Sales managers/supervisors in the preparation submission of Quotations and Tenders, and provide them with the necessary documents, brochures, certificates, etc.
-Maintaining accurate databases such as price lists, payment requests list, product materials listing, registrations listing (TUV, certificates), etc.
-Follow-up on Sales related activities such as orders/ back orders / reverse orders monitoring, invoicing, shipments, quotes, tenders etc.
-Ensure timely and complete action with all stakeholders.
-Ensure ongoing operations, processes and programs are completed on schedule following the established policies, practices and procedures.
-Collaborate with the various Business Groups across KSA by bringing synergies and homogenizing processes.
-Resolve escalated issues related to pre-orders, quotes and tenders on a local and regional level in a reduced the resolution time.
-Actively participate in KSA Function and Business Meetings periodically to obtain feedback and insight into their evolving needs and the adequate consumer support systems and processes.
-Serve as a back-up for the team especially during peak times and back-up support for Managers.
Standardization of Processes:
-Proactively identify opportunities to improve and enhance systems and processes to increase the efficiency and effectiveness of the team.
-Execute system control reports, and address all issues to ensure timely and accurate resolution.
-Spot trends across businesses; take action and make recommendations accordingly.
-Provide, when needed, process and tool enhancements or modifications and work with IT to enhance/redesign operating systems as needed.
-Maintain detailed customers/distributors database and documentation of all accounts to support the businesses workflow and reporting.
-Manage and consolidate customer’s orders/tenders, shipments, and payment terms portfolio.
-Maintain accurate traceability files for online trials, firm/gratis/samples orders, demo details, implanted products, and contact/user records on internal systems.
-Consolidate pricelists across all KSA Businesses per country/customer on an annual basis.
-Maintain an updated/healthy detailed shared folder across the BS team.
-Submit Month-End reports to management.
-Assist in the creation of related analysis reports, strategic new initiatives and projects.
-Produce meaningful reports, maintain database integrity, develop and document internal procedures.
-Implement, track and continuously improve metrics and reports to support multiple business process improvements.
-Monitor and control boycotted accounts and countries and licenses.
-Ensure the Order Management Function is compliant to MDT policies and BCS regulations.
